SALES OPERATIONS ASSISTANT
Type: Maternity leave replacement. Part-time, (18 hours per week)

About the role
Love Stories is looking for a Sales Operations Assistant to temporarily reinforce the wholesale operations team during a maternity leave period. In this role, you will provide administrative and operational support to the sales team. You ensure smooth sales operations by managing customer and order data accurately and on time. The role focuses on order management, customer administration, and coordination of operational processes across internal systems such as Navision and NuOrder.
Key Responsibilities:
Sales Operations & Customer Coordination
- Daily operational contact with HQ teams, agents, and wholesale customers
- Support the Italian agency with order management and operational follow-up
- Coordinate with internal departments to ensure smooth order processing and shipping
Navision (ERP)
- Create new customer accounts and verify VAT numbers for EU transactions
- Check order status and update shipping forecasts
- Manage customer payment conditions (e.g., prepayment status, credit control flags)
- Process re-orders coming from NuOrder and add them to the shipping forecast
- Request invoice issuance for EXW and warehouse shipments
- Close orders in case of unavailable stock
- Prepare and send order confirmations to customers after the sales campaign
- Authorize and process returns and coordinate credit notes with Credit Control
- Prepare reports for the agent including order volumes and payments received
NuOrder (Wholesale Platform)
- Support agents in setting up and managing customer accounts correctly
- Assist agents with order processing (e.g., resolving missing quantities, pushing orders through the system)
- Ensure all line sheets are correctly available across the different price lists
- Monitor order status:
- During sales campaigns: move orders from draft/pending to approved/processed
- Outside campaigns: process re-orders for shipment in Navision
Communication & Coordination
- Act as a first point of contact for internal sales-related questions
- Liaise with logistics, finance, and external partners
- Assist with customer inquiries (e.g. delivery timelines, availability)
- Check packing list files provided by Credit Control for invoicing
- Maintain contact with the warehouse regarding specific customer shipping requirements
- Coordinate special instructions (e.g., signed invoices included in shipments)
Profile & requirements
- Previous experience in sales operations, wholesale support, or order management
- Experience working with ERP systems (Navision or similar) and wholesale platforms (NuOrder is a plus)
- Strong organizational skills and attention to detail
- Ability to manage multiple operational tasks and coordinate across teams
- Comfortable working in an international environment
Language requirements
- Dutch and English: professional proficiency
- Italian – a plus
